Privacy Policy

How 5Loyalty handles website visits, business enquiries and demo bookings.

Last updated: 18 October 2026.

About this notice

This notice covers the 5Loyalty marketing website, business enquiries and demo bookings. It does not replace the privacy notices for customer-branded apps.

Who we are

5Loyalty Ltd is responsible for the information described in this notice. We are registered in England and Wales, company number 10020833. Our registered office is Denmark House, 143 High Street, Chalfont St. Peter, Gerrards Cross, Buckinghamshire, SL9 9QL. For privacy questions or requests, email info@5loyalty.com. Our company-supplied ICO registration number is 00012393796.

Information you provide

When you enquire or book a demo, we collect the contact and business details you provide. These may include your name, work email, phone number, business, role, number of locations, POS system, use of Deliverect and your message. A booking also includes the appointment time and calendar details. Required fields are labelled. You can browse without submitting an enquiry, but we need the required details to respond or arrange your meeting. Please avoid including sensitive personal information or information about your customers in an initial enquiry.

How we use enquiry information

We use your details to check compatibility, respond to your enquiry, arrange and deliver demonstrations, and manage our business relationship. Confirmed demos are recorded in HubSpot with the qualification details and an associated deal. Unsupported-POS enquiries are recorded separately and do not create a demo booking. Access within our team is limited to the people responsible for enquiries and their administration.

Lawful bases

The basis for handling business enquiries, managing business contacts and protecting the website is legitimate interests: responding to requests, managing relationships and operating a secure service. Where you personally are a prospective contracting party, steps taken at your request before entering a contract may apply. The unsupported-POS form currently asks for consent to use your details to respond. HubSpot website tracking requires analytics consent.

Marketing and contact sources

We use HubSpot for promotional emails. Our business contacts come from signups, enquiries, demos, LinkedIn and manual research. If you enquire or book a demo, we may send you marketing emails about 5Loyalty products and services relevant to your business, where permitted by applicable law. Where consent is required, we will ask for it before sending marketing emails. You can unsubscribe at any time using the link in any marketing email. We keep suppression information in HubSpot to prevent unsubscribed addresses being added back to marketing, including through later imports. You can opt out when submitting an enquiry using the checkbox on the form. We never sell your personal information or share it with other businesses for their own marketing.

Service providers

We use providers of customer relationship management, email marketing, scheduling, video meetings and internal communications to handle enquiries and bookings. These include HubSpot and Google Workspace. We also use website hosting and content delivery providers, which process technical information needed to deliver and secure the website.

Website analytics

When enabled on the public site, HubSpot visit tracking will load after you accept optional analytics. It may link browsing activity to your contact record where it can identify you. Onfus provides cookieless website analytics and loads independently of those consent buttons. It processes IP and browser information to derive approximate location and a daily visitor identifier. Its standard setup does not retain raw IP addresses or store persistent tracking identifiers on your device. Revenue attribution is disabled. The Cookie Policy explains the current controls.

International processing

Our service providers process information outside the UK, including in the United States. Relevant supplier agreements include international-transfer safeguards such as standard contractual clauses and the UK Addendum. To request a copy of the applicable safeguards, email info@5loyalty.com.

Unsuccessful enquiries and demo prospects

We review unsuccessful enquiries and demo prospect records for deletion 24 months after the last meaningful contact, unless there is an ongoing business relationship or a specific legal reason to retain them. Meaningful contact means a reply from the prospect, an attended meeting or a substantive conversation. Sending a marketing email does not restart the period. Quarterly reviews cover all relevant enquiry and demo records, including copies. Eligible records are deleted or anonymised during those reviews. We retain the information needed to honour unsubscribe requests.

Customer contacts and other records

We assess existing and former customer contact details case by case. We keep them while needed to manage the relationship, provide support or resolve outstanding contractual matters, then delete or anonymise them when no longer needed. We retain suppression information to honour marketing objections.

Your rights and choices

Depending on the processing, you may request access, correction, deletion, restriction or portability of your information. You can object to processing based on legitimate interests, and you can object to direct marketing at any time. Where processing relies on consent, you may withdraw it without affecting the lawfulness of earlier processing. Email info@5loyalty.com to make a request; we may need to verify your identity. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint/.

Compatibility checks and customer apps

The POS checker uses the system you select to show compatibility information and the appropriate enquiry or booking route. If your system is not listed, you can submit a POS enquiry. For an app or loyalty program operated by one of our hospitality customers, consult that business's privacy notice.

Changes to this notice

We will update this notice when our processing changes. The date above shows when it was last updated.
